When one afternoon appointment can make an entire morning feel unusable, the problem is not simply poor planning: it is how your brain perceives the time before a fixed event. You open a document, read the first paragraph, then check the time. 10:07. You answer one email. Check again. 10:19.There is no urgent preparation to do. You are not leaving for hours. In theory, there is enough time to finish a report, make progress on a project, go to the gym, or deal with the pile of small tasks you have been postponing.Instead, the morning becomes a strange holding area between now and the thing happening later.Online, people often call this experience “Waiting Mode.” It is not a clinical diagnosis or a formal psychological condition. But the experience behind the phrase is recognizable, and research on how scheduled events change our perception of available time offers a surprisingly good explanation for part of it.Why Four Free Hours Can Feel Like OneThe most relevant evidence comes from research by Gabriela Tonietto, Selin Malkoc, and Stephen Nowlis. Across eight laboratory and field studies, the researchers examined what happens when a period of otherwise available time ends with a scheduled activity, what they called a future boundary task.Their finding was remarkably simple: the same amount of time can feel shorter when something is scheduled at the end of it. An hour before a meeting does not necessarily feel like the same resource as an hour with nothing scheduled afterward.The researchers found that people facing an upcoming boundary performed fewer tasks and were less willing to start relatively longer tasks, even when there was objectively enough time to complete them. Interestingly, the effect became weaker when a longer activity was made easier to divide into smaller parts. That is important because it changes the way we should think about Waiting Mode.The problem may not simply be: “I cannot concentrate.” It may begin one step earlier: “This does not feel like enough usable time to begin.” And once the morning has been mentally labelled as “the time before the meeting,” a perfectly usable block can start to feel fragmented.Why Some Tasks Feel Almost Impossible to StartConsider two tasks: Task A: reply to three emails. Task B: start writing a 2,000-word proposal. Both might fit comfortably before a 3 p.m. meeting, but Task B has no obvious stopping point. Once you begin, you may become absorbed in it, you do not know exactly how far you will get, and you may have to interrupt yourself. That uncertainty matters.Tonietto and colleagues found that upcoming boundaries particularly discouraged engagement with more extended activities. When longer tasks could be separated more clearly into components, the boundary effect was reduced. So one practical mistake is waiting for Waiting Mode to disappear before beginning anything meaningful. A better approach is to change the shape of the task.Instead of “Work on presentation,” try “Write slides 1–3 before 11:30.” Instead of “Finish report,” try “Draft the introduction and results headings.”You have not created more time. You have made the available time easier for your brain to use.What Executive Functions Have to Do With ItUsing time effectively also draws on several executive functions – cognitive processes involved in keeping goals in mind, directing attention, resisting distractions, switching between tasks, and adjusting behavior when circumstances change.In her 2013 review on executive functions, psychologist Adele Diamond identifies three core executive functions: working memory, inhibitory control, and cognitive flexibility. That does not mean Waiting Mode can be reduced to an “executive-function problem.” Research on future boundary tasks does not establish that mechanism.But executive skills clearly matter to what happens next: deciding what fits into the available period, starting it, resisting repeated clock-checking, and stopping at the appropriate moment.Working memory and cognitive flexibility are among the cognitive skills involved in keeping goals in mind and adapting when plans change. Cognitive exercises can provide a structured way to engage and practice these skills alongside practical strategies such as reminders, time blocks, and clearly defined stopping points.Is Waiting Mode a Sign of ADHD? What the Research SaysSearch for “Waiting Mode” online and you will quickly see it associated with ADHD. The experience may feel particularly familiar to some people with ADHD, but the connection needs an important caveat: Waiting Mode is not a recognized ADHD symptom or diagnosis, and research has not established it as an ADHD-specific phenomenon.Research does, however, provide some relevant context. A 2023 review by psychologist Christian Mette examined studies of time perception in adults with ADHD. Some studies found difficulties with time estimation, time reproduction, and time management, while others did not find a clear association. The review also emphasized that research in this area remains limited and methods vary considerably between studies.At the same time, the boundary effect described by Tonietto and colleagues is not specific to ADHD: an upcoming scheduled event can make the time before it feel less available even in the general population.So experiencing Waiting Mode does not mean you have ADHD. A more cautious interpretation is that difficulties with time perception or time management may make these scheduled boundaries harder to navigate for some people with ADHD, but that specific connection still needs more direct research.If that experience sounds familiar, external structure can be useful regardless of the reason behind it. Most of the strategies below do not require you to become magically better at “feeling time.”They make time more visible.7 Ways to Get Out of Waiting Mode1. Find the Real Boundary, Not the Appointment TimeSuppose your Zoom call starts at 3 p.m. Three o’clock is not actually the end of your usable time. Maybe you need five minutes to open your notes, get water, and join the call.Your real boundary is 2:55 p.m. If you are travelling to an appointment, calculate backward:Appointment: 3:00Travel: 30 minutesParking/walking: 10 minutesSafety buffer: 10 minutesStop what you are doing: 2:10. Now the morning has a visible endpoint instead of a vague threat hanging over it. Write that time down. Do not keep recalculating it.2. Stop Being the ClockOne reason a future appointment can dominate attention is simple: you may be repeatedly checking whether it is time yet. Give that job to a device. Set a reminder for the moment you need to begin transitioning.Research on prospective memory, remembering to perform something in the future, shows that external reminders can improve performance on delayed intentions. This strategy is often described as cognitive offloading.Instead of mentally carrying Remember the meeting. Remember the meeting. Remember the meeting., the environment carries part of the responsibility.For example:2:40: Finish current task.2:50: Open notes and meeting link.3:00: Meeting.Once those alerts exist, you no longer need to check the clock every four minutes.5. Use an “If-Then” RuleAnother useful tool comes from research on implementation intentions.Instead of relying on a vague intention to remember the meeting, create a specific cue-action rule. For example, decide in advance that when the 2:40 alarm rings, you will finish the sentence you are writing, save the document, and open your meeting notes.A systematic review and meta-analysis found that implementation intentions can improve prospective-memory performance. The advantage is practical: you have already made the decision. When the cue arrives, you do not have to negotiate with yourself again.6. Empty the Appointment From Your HeadSometimes the distraction is not the clock. It is everything associated with the event:What if they ask about the budget?I need to remember that document.Did I send Sarah the file?Do not keep rehearsing those thoughts. Create a small appointment note and put every relevant thought there.
